Consultation With Justin James

Once we've had our initial phone call and agreed to move forward, we'll arrange an on-site or virtual consultation - a crucial first step in the process.

During the consultation, we'll take the time to really understand you: your lifestyle, needs, desires, style, vision, and goals. By asking the right questions, we'll gather all the information we need to provide the best possible service. We'll also explain the value we can bring to your project, and how we can address any challenges you may be facing with your current space.

The consultation is also a working session, during which we'll determine the project scope, timeline, and budget, as well as assess feasibility. We'll provide guidance for your project and an overview of the design process, including how we approach design and research, how we collaborate with contractors and trades, how we manage products from start to finish, and how we keep you informed throughout the process.

Scope Of Work, Fee Proposal And Design Agreement

Once we've carefully assessed your needs and evaluated the time and resources required to achieve a successful result, we'll prepare a detailed proposal and agreement outlining the scope of work for the entire project. This document will also include our design goals and intentions, the estimated design fee, payment terms, estimated timeline, and terms and conditions.

After reviewing the Scope of Work Proposal and Agreement, and upon approval, we'll request an initial advance on our design fee to signify the official launch of the project.

Please note that the Scope of Work Proposal is separate from the Conceptual Design Plan or Design Presentation, which will be developed after the document is signed and the initial advance on the design fee is received.

Site Measure And Planning

Conducting a thorough site assessment is crucial for achieving a successful outcome. Even if your space is currently a blank slate, our ability to visualize and conceptualize the finished product is one of our strengths.

During the site measure and planning phase, we carefully assess and document the existing conditions, take accurate measurements and photographs, and gather all necessary information to inform the design process. For our virtual clients, we offer guidance to assist in gathering this information.

In addition to the site assessment, we'll also take the time to review how we work with the tradespeople you've hired to carry out our designs. We've developed a resource list that we'll leave with you to simplify the process of hiring tradespeople. This list includes suggested tradespeople that you can contact to schedule appointments and obtain quotes and estimates.

Conceptual Design Stage, Sourcing, Researching, Quotes & Estimates

This stage of the process is truly exciting. The initial concepts discussed during the consultation are starting to take shape and evolve into a comprehensive design plan. This is where we draw upon our vast skills and resources to meet your needs and overcome any challenges or limitations presented by the space.

Our team develops these concepts through a thorough plan review, utilizing 2D and 3D renderings, sketches, elevations, color schemes, and mood boards. We also handle sourcing all materials, fixtures, and furnishings to ensure a cohesive design.

During this step, we're happy to collaborate with the tradespeople you've hired to gather quotes and estimates, which we can include in the initial budget that's also developed during this stage.

Conceptual Presentation & Revision

At this stage, we require the remaining balance of our design fee. We'll schedule a meeting with you either in-person or virtually to confirm the scope of work, layout, investment estimate, and aesthetic direction for your custom design plan. This includes floor plans, inspiration boards, color schemes, digital presentation boards, initial fabric and wallpaper selections, other finish material samples, and a furnishing investment estimate.

We believe that this is the opportunity to showcase the full potential of your space and provide the best option to address your needs and desires. Our goal is not to overwhelm you with multiple options, but to bring the one option that we believe will work for you, based on the time we've taken to listen to your needs.

If necessary, we provide one round of revisions at this point.

Detailed Design Phase

We are responsible for procuring all furnishings, as well as every fabric and finish needed for your project. We provide you with comprehensive written quotes and detailed proposals. Additionally, we continue to refine a 3D model of your space, as well as create dimensioned and detailed drawings and elevations to be included in the final presentation.

Detailed Design Presentation & Revision (If any)

This is an exciting moment! We arrange a meeting with you either in person or virtually to present your finalized custom design plan. This comprehensive plan includes all floor plans, elevations, renderings, color schemes, digital presentation boards, fabric and wallpaper samples, other finish material samples, furniture selections, and budget breakdown.

At this stage, we provide one round of revisions to ensure that the final design meets all of your needs and desires, while incorporating our expert vision for your project based on previous meetings and discussions.

The Final Presentation includes concept drawings that can be provided to the tradespeople you hire to carry out the work, a detailed budget breakdown for all furnishings item by item, fabric memos, and color schemes. We provide a clear visualization of the finished space so that you can review and agree upon any adjustments to the budget due to revisions.

At this meeting, we sign the Furnishings Proposal and Agreement, and 100% of the furnishings budget is required before we can place any orders.

Construction Project Oversight & Product Management

We understand that your time is valuable, and we want you to have peace of mind knowing that we are handling all of the details of implementing your design plan.

During this phase, we work closely with the builders, vendors, fabricators, and other contractors that you have hired to ensure that our plans are executed according to our specifications. We check-in or make site visits as needed to monitor progress and troubleshoot any issues that may arise.

In addition, we manage the procurement of all furnishings and décor products, keeping track of orders, lead times, and any back-orders or discontinued items that may affect the project timeline. Our goal is to ensure that everything runs smoothly and efficiently, and we do our best to adhere to the projected timeline while keeping you informed every step of the way.

Receipt of Orders and Initial Installations

For our in-person clients, we work behind the scenes to bring everything together seamlessly while you carry on with your daily routine. This is a crucial aspect of the value we provide for your project. Our responsibilities include managing the production and fabrication of custom items, overseeing the installation of custom window treatments, and receiving and inspecting all furnishings for quality assurance.

All ordered furnishings are received at our warehouse, carefully inspected for damages, labeled, and stored until the installation day. We promptly address any issues with damaged items by making claims and reordering as needed. Our goal is to complete the installation in one day, although some custom items like window treatments may be installed beforehand.

We keep you informed of the progress of products at least once a week as they arrive.

Furniture Installation & Styling, Project Reveal, Walk Through

It's finally here! Installation day - the day when all items are expertly installed and styled for a breathtaking finish. Typically, installation is completed in just one or two days.

This is also the moment you've been waiting for - the reveal of your newly transformed space. During the walk-through, we will guide you through each feature and benefit of your new items, including how to care for and maintain each piece, and any warranties available.

If needed, we can schedule a separate day for the final walk-through where you have the opportunity to point out any deficiencies you may have noticed. While we strive for perfection, it's possible that small mistakes or accidents can occur, and this is your chance to ensure that everything is to your satisfaction.

Resolving Deficiencies

We work closely with the vendor to rectify any deficiencies that may have been identified during the final walk-through. While we take great care to ensure that all products meet our high standards before they arrive at your home on installation day, we have this process in place to ensure your complete satisfaction with the finished space.

Project Closure Meeting & Photography

At this point, we hope you're enjoying your newly transformed space!

To ensure your complete satisfaction, we schedule a project closure meeting where we can gather your feedback on the design process and your thoughts on the final result. We highly value your input, as it helps us improve our services and better meet the needs of future clients.
